Terms and Conditions

 

A - PARTICIPATION CONDITIONS

Only French and foreign companies presenting products and services compatible with the approach of the fair may participate at the fair. To this end, the organiser reserves the right to refuse any company. The refusal of a request to participate will not imply any indemnity, and the amounts paid will be purely and simply reimbursed in this case. Stand locations are not contractual.

When signing their request to participate, exhibitors commit to complying with the clauses of this contract and any new provisions which may be added and adopted by the organisers due to circumstances in the interest of the event, without restriction or reserves. The organisers reserve the right to notify any new provisions to exhibitors, including verbally.
Exhibitors are prohibited from transferring or sub-leasing all or part of their stands.


B - FITTINGS AND SURFACE AREAS

1- The organiser will indicate as precise as possible measurements on the drawings communicated to exhibitors. Exhibitors are however responsible for checking conformity prior to fitting out stands. The organiser will establish a plan of the event and distribute stands according to the preferences indicated by exhibitors, the nature of their articles and the layout of the stand they intend to install as far as possible. The organiser reserves the right to modify the size and layout of the surface areas requested by the exhibitor as often as considered necessary. Should exhibitors have participated at previous editions, this will not imply any right to a given location.


2- Should litigation arise between the exhibitors and the Organising authority, the main organiser will be required to arbitrate and this decision will be final.


3- The installations created by the exhibitor on the stand may not exceed the surface area of the modular stand or a height of 2.40 m under any circumstances. Exhibitors may not modify the structures of stands, place a lining on the ceiling or fix decorative elements and any other item on the structures of the stands installed by the organiser. Exhibitors wishing to fit out stands using additional constructions must submit a mockup to the Organising authority for approval at least one month prior to the opening of the exhibition. Fittings must under no circumstances damage neighbouring stands, the general decoration of the exhibition or the approach of the exhibition.


4- In special or disputed cases with an impact on safety, the exhibitor will be required to request the approval of the Safety Commission of the Police headquarters. The exhibitor must provide proof of this approval to the Organising authority. Lit signs must be authorised in writing.


5- Exhibitors must leave stands in their original condition prior to the arrival of the exhibitor. Exhibitors are responsible for damage caused by its installations to floors, panels, glass displays, etc. Exhibitors must meet any expenses incurred in renovation works, if applicable.


6- The organiser reserves the right to revise stand rental rates in case of a substantial change in the cost of materials, transport or labour and applicable social laws prior to the opening of the exhibition.


C - GENERAL SERVICES

Participation costs include the following services: the Organising authority; the general organisation of the fair, lighting, heating and air conditioning; general and specific signs for each stand; floral decoration in common areas; the greeting of visitors (hostesses, cloak room, fair plan); the cleaning of common areas during the fair and the evening; technical assistance during the fair; civil liability and fire insurance; security by day and night; fire fighting provisions; fair promotion (advertising and public relations); invitations (quantities described in document enclosed).


D - SPECIAL SERVICES

Refer to the contract and descriptions enclosed.

E - SERVICES NOT INCLUDED

Any service not mentioned in the contract taken out by the exhibitor and the description enclosed is not included in the participation fee and must therefore be selected as an option. For example, electrical plugs, sound systems, floral decorations on stands, parking fees and specific insurance are all options.


1- Electricity

Any request for connection must be addressed directly to the organiser via the technical pack 1 month prior to the opening of the exhibition. Installations must comply with the provisions of the Police headquarters. These provisions formally prohibit the use of flexible wires, aluminium or metal-coated cables and wires and splices. Special switchgear for low voltage fluorescent tubes must be easy to access and placed in metal casing.


2- Catalogue

The organiser retains the exclusive right to publish a catalogue directly and distribute this catalogue within the exhibition hall(s). Indispensable information for the drafting of this catalogue will be supplied by exhibitors subject to their liability. The organiser may not, under any circumstances, be held liable for any omissions, copying, composition or other errors which may arise. The organiser may refuse to insert or modify any text which appears contrary to the interests of the event.


3- Installation and moving

No goods may be sent directly to the exhibition site, and all exhibitors must organise the transport and receipt of their packages. Setting up must be completed the day prior to the opening (see exhibitor guide). Goods may only be handled outside of opening hours. Items must be moved during the periods indicated in the exhibitor guide. Each exhibitor must appoint a safety manager for equipment and goods and for their rapid removal.


F - TERMS AND CONDITIONS OF PAYMENT

1- Participation fees are due 60 days prior to the opening of the fair at the latest. Any reservations received after this date must be paid in full at order.

2- Any payment not made within this period may lead to the rescission of the order form and the payment of all outstanding costs due to the organiser.

The organiser will then reserve the right to use the newly available stand and rent this stand to another exhibitor.
3- The organiser reserves the right to claim decorative objects displayed on the stand as a guarantee should the exhibitor not pay any amount or in case of any claim leading to costs or indemnities.


G - CANCELLATION CONDITIONS

1- Any exhibitor wishing to cancel participation must cancel via registered letter with acknowledgement of receipt.
If participation is cancelled more than 2 months prior to the date of the fair, 50% of the amount due in rental will be owed to the organiser. If participation is cancelled less than two months prior to the date of the fair, the entire amount due in rental will be owed to the organiser.


2- Should the exhibitor not use its stand and not start the installation of the stand two hours prior to the opening of the exhibition, the exhibitor will be considered to have withdrawn and the organiser may use the allocated site without need for reimbursement or indemnities.


H - DUTIES OF THE EXHIBITOR

1- Exhibitors may not host another company on their stand and may not advertise non-exhibiting firms in any way.


2- Exhibitors may not distribute documents or brochures other than from their stand or in front of this stand, unless an agreement has been reached with the fair organiser for this purpose


3- The use of a sound system must be at a volume compatible with the general organisation of the fair, and must not disturb nearby exhibitors. Should an exhibitor receive a warning and not respond, the organiser reserves the right to cut the electrical supply to the stand in question. Power will only be returned to the stand after an express meeting between a duly mandated member of the Management of the exhibitor and the organiser.


4- Exhibitors may not display any posters or announcements or arrows on the external panels of the stand, or at any other location in the fair.


I - INSURANCE

Civil liability insurance is covered by the organiser. Fire-water damage insurance is covered by the manager of the exhibition hall(s). The rental agent will insure all rented furniture. With regard theft and damages, an all-risks insurance policy must be taken out by all exhibitors. The organiser cannot be held liable for theft of or damage to the clothing or personal belongings of exhibitors or visitors, including if these items are left with the cloak room, or in case of prejudice or accidents attributable to the party renting the site used.


J - MISCELLANEOUS

The organiser of the exhibition may modify the opening/closing times of the exhibition, and shorten or extend its duration without implying any right to indemnities. Opening times and days are defined by the organiser. Entrance cards are provided for exhibitors. Exhibitors must distribute these cards to their personnel free of charge. These cards may not be sold or hired out in any way, or be used as invitations for customers.

Should the exhibition not be held due to force majeure of any type, exhibitors will waive any recourse against the organisers. After payment of the expenses incurred, the outstanding amount is distributed between exhibitors pro rata to payments made.


The organiser is exonerated of any liability with regard any prejudice (including any disturbance to stand occupation and any commercial prejudice), which may be suffered by exhibitors on any grounds and, in particular, due to late opening, early closure, the non-opening, closing or destruction of stands, fire and any other incidents, etc.

Visitors

No person may enter the exhibition hall(s) without an entrance ticket issued or accepted by the exhibition office. This office reserves the right to refuse entrance to the exhibition to any party without need for justification.


Stand organisation

Take-away sales are prohibited. Exhibitors must receive visitors at their stands for the entire duration of each day of the exhibition until closing time. Stands must be absolutely clean and constant, decorated and filled for the entire duration of the exhibition. Exhibitors must appoint one person responsible for the general organisation of their stand and which the services of the Organising authority may contact in due form. Displayed items may not be covered during opening hours; in addition, stands may not be cleaned during opening hours. Personnel employed must behave correctly and be polite. All interviews, enquiries by newspapers, journals, reviews or private firms are strictly prohibited within the exhibition hall(s), without the prior agreement of the Organising authority. The use of remote video and other audiovisual techniques on stands is authorised. Should an exhibitor not comply with these provisions, this exhibitor will not be authorised to participate at the next event.


Reproduction

Photographers and film crews may only access the exhibition with the authorisation of the Organising authority. With regard all elements not provided for in this contract, the exhibitors purely and simply accept the conditions described in the general regulations adopted by all specialist exhibitions.


Customs

Exhibitors are responsible for all customs formalities required for equipment and products from abroad. The organiser may not be held liable for any difficulties which may occur during these formalities.


K - LITIGATION

1- The organiser will make a final decision for all circumstances not provided for in this contract. All decisions will be final and immediately enforceable. In case of claims, the exhibitor must submit the claim to the organiser prior to launching proceedings. All court action launched within 15 days of this claim will be declared inadmissible and exhibitors expressly consent to this clause.


2- In case of any litigation which may arise during the fair or relating to the interpretation of this contract, the commercial court of Paris is expressly assigned jurisdiction, including in case of multiple defendants.


3- Any breach of any of the clauses of this contract or of the fair regulations defined by the organiser, or any breach of a verbal regulation applied to the exhibitor by the organiser, will lead to the immediate exclusion and expulsion of the non-compliant exhibitor. The exhibitor in question may not claim the reimbursement of any amounts paid by it or any type of indemnity on the grounds of this expulsion, without prejudice to any other indemnity should the breach have caused any tangible or legal damage of any type to the event. The organiser may freely use the newly available stand. All action which the organiser is obliged to take to ensure compliance with regulations will be executed in full at the costs and risks of the non-compliant exhibitors. If applicable, the exhibitors may not take any recourse against the organisers.
